Software Privacy Statement

1. Introduction

This Data Privacy Policy (“Policy”) is issued by Matrix Solutions (“we”, “us”, or “our”) in our capacity as a provider of HR & Payroll software solutions (“Software”). This Policy sets forth our approach to data privacy and clarifies our role and responsibilities with respect to customer data.
By licensing, installing, or using our Software, the customer (“you”, “your”, or “Client”) acknowledges and agrees to the terms of this Policy.

2. Scope and Applicability

1. This Policy applies solely to the software products and related services provided by Matrix Solutions. It does not apply to any data processing activities carried out by the Client or third parties utilizing the Software.

3. No Collection or Retention of Customer Data

1. Matrix Solutions does not collect, store, retain, access, process, or transmit any data entered into the Software by the Client or its end users, including but not limited to personal data, payroll records, HR information, or any sensitive employee data.
2. All such data remains within the custody, control, and infrastructure of the Client. The Software is installed and operates entirely within the Client’s in-house server or local environment, and no customer data is transmitted to Matrix Solutions under any circumstances.

4. No Hosting or Data Storage Services

1. Matrix Solutions does not offer or provide cloud-based hosting or data storage services. All data generated or processed through the use of the Software is stored exclusively on the Client’s internal systems or infrastructure, and Matrix Solutions does not have any access to such systems unless explicitly granted by the Client for support purposes, and only on a limited, need-to-know basis.

5. Limited Scope of Technical Support

2. In the course of providing technical support, Matrix Solutions may be granted temporary, controlled access to the Client’s server environment. Such access, if required, will be subject to:
1. The Client’s express prior written consent;
2. Strict limitation to technical diagnostic or software configuration purposes only;
3. No copying, storing, downloading, or accessing of any customer or employee data;
4. Compliance with all applicable confidentiality obligations.

6. Confidentiality and Non-Disclosure

3. Matrix Solutions shall ensure that its personnel, contractors, or agents engaged in support or service delivery are bound by written confidentiality agreements. Matrix Solutions shall not disclose, publish, or make available any confidential information accessed during the course of providing services to any third party, unless required by law or court order.

7. No Liability for Customer Data Management

4. The Client retains full responsibility for the management, security, access controls, regulatory compliance, and data protection measures applicable to the data maintained within its systems. Matrix Solutions shall not be held liable for any data breaches, data loss, or unauthorized access occurring on the Client’s infrastructure.

8. No Data Sharing, Sale, or Use

5. Matrix Solutions does not sell, rent, lease, share, or otherwise disclose any Client data, usage metrics, or end-user information to any third party. We do not engage in any data monetization activities.

9. Governing Law and Jurisdiction

6. This Policy shall be governed by and construed in accordance with the laws of [Insert Governing Jurisdiction – e.g., the United Arab Emirates]. Any disputes arising from or related to this Policy shall be subject to the exclusive jurisdiction of the courts of [Insert Jurisdiction].
