The recruitment request follows a predefined approval workflow:
Candidates apply through ESS
Department Head shortlists and schedules interviews.
Real-Time Status Tracking : View recruitment pipeline status (Applied, Shortlisted, Interviewed, Offer Issued, Hired)
Offer Letter Management : Generate, Issue, Accept, or Reject offer letters
Selection Process
Interviews are conducted, and feedback is logged in ESS.
Offer letter is generated and sent via ESS.
2. Visa Processing and Preboarding Transition
HR submits candidate documents (passport, offer letter, etc.) to the PRO department through ESS for visa processing.
PRO department processes the visa and updates the status in ESS.
HR receives visa details from PRO through ESS once the visa is issued.
HR initiates the preboarding process once visa details are received, including IT setup, workspace arrangements, and document submissions via the ESS portal.
3. Preboarding Workflow via ESS
Preboarding requests are initiated by HR through the Employee Self-Service (ESS) module.
Requests are automatically routed to the respective department heads (e.g., IT, Admin, Facilities).
Readiness confirmation is submitted by department heads directly through the ESS module.
HR tracks overall preboarding progress and receives real-time status updates via ESS.
4. Onboarding Process (Post-Preboarding)
HR sends a formal welcome email with ESS login details to initiate onboarding.
The candidate accesses the ESS portal to complete required onboarding steps.
Candidate submits:
Personal, educational, and professional details
Bank account information for payroll
Candidate reviews and acknowledges:
Confidentiality and non-disclosure agreements
Company policies, Code of conduct, Other statutory and organizational forms
Candidate accepts assigned IT assets (if applicable).
A formal onboarding request is submitted through ESS and routed via the approval workflow
